Formatting Excel Spreadsheets for Envelope Addresses

Now that you have your invitations/inserts, we can help you deliver them! This is an easy and essential step. To get started, we ask that you first create an Excel spreadsheet. Several websites help collect wedding guests’ addresses like theknot.com and ineedyouraddress.com. You can sign up for their services to collect data and then send wedding guest information to BYU Print and Mail. If you prefer a template to help you with addresses, you can use our free BYU Print and Mail address template.

To ensure that the addresses show up as you’d like and as needed, we ask that certain information go into one corresponding column. You will need to have a column for names, full street addresses, city, state, zip code, and country on your spreadsheet. Below is a list describing the columns' order and what each column should include.

1. The first column should be called “Names.” We ask that all names go into this single column. This includes first, middle, last, company, and family names (family names such as “The Scott Family”).

2. The second column should be called “Full Street Address.” This column should include all street numbers, street names, and secondary address units (secondary address units such as apartments, suites, buildings, etc.) in it. No need to separate address lines, it should all be one, like putting “2550 Jefferson St. Apt. 289.”

3. The third column should be called “City, State, and ZIP Code.” It should include all the cities, state initials, and zip codes all together. No need to split up this information as it all goes together on the envelope. You should write as if it were going on the envelope such as “Reno, NV 89523.”

4. The last and fourth column should be called “Country.” This column should include any country you need on the envelope. Foreign countries are mandatory to include in this column. If some or all of your addresses are domestic, don’t worry about putting “USA or United States” as they can mail without it.

Your spreadsheet should look something like this:
